Sharing and permissions

Choose who can open or edit a course, understand invitations and manage access.

Use Share on a course to choose its audience. Course permissions, organization roles and licenses answer different questions: who can open or edit content, who manages the organization, and who can use licensed features.

Menu names below follow the English interface. A shared link does not grant new permissions unless the course allows access through that link.

Roles

Role or accessWhat it allows
ViewerOpen the course and use the learner activities available to that account. It does not allow editing or changing who has access.
EditorManage course details, materials and the path, and share the course within the owning organization's policy.
Organization AdminManage organization members, groups, licenses and settings. Editing rights over content also depend on ownership and course grants.
License holderUse the licensed features available to the organization. A license does not grant course access or editor rights.

The creator normally has editor access. When content belongs to an organization, its ownership policy also determines the creator's continuing access and the organization's administrators' management rights. Under The organization ownership, its active admins can manage that content. Under Whoever creates it, the admin role alone does not grant editing rights over the author's content. See Organization administration.

Invite a person

  1. Open the course and choose Share.
  2. Choose Person and enter the recipient's email address.
  3. Choose Viewer or Editor, then Invite.
  4. Review People with access to confirm the result.

If that email already has a SceneSnap account, access is granted immediately. Otherwise, SceneSnap sends an invitation and shows Pending invitation. The recipient signs in with the invited address and accepts it.

An invitation expires after 14 days. You can cancel it before acceptance using Cancel invitation. If it expires, is canceled or the sender no longer has authority to share the course, it cannot grant access; ask an editor for a new invitation.

Share with a group or organization

For the organization that owns the course, choose All of … under General access, then select Viewer or Editor. Every active member receives that level of course access.

Use Group or organization to select an available group or another organization you belong to, choose its access level and select Invite. The organization's sharing policy can restrict these choices. Only organization admins can share a course with a group.

A group share applies to its active members. Changing group membership changes access through that group. Being added to an organization does not automatically open every course; the course must be shared with the organization, a group or the person.

ChoiceWho can open the course
Only people addedPeople, groups and organizations with assigned access, plus those with ownership-based management rights
All of …Active members of the owning organization at the selected level, in addition to other assigned access
Anyone with the linkPeople who open the link and sign in to SceneSnap, including people outside your organization. Link access gives viewing rights.

Use Copy link to send the address. Copying it does not change the access setting. Anyone with the link is offered only when public sharing is allowed.

An organization's content can be restricted to Members only, a choice SceneSnap sets as agreed with the organization. Switching to that policy revokes outside shares, closes public links and withdraws affected web publications. Editors cannot override that policy from Share. See content sharing settings.

Publishing a module makes it visible in the path for people who can already open the course. It does not change General access or publish the course to everyone.

Materials inside a course

Videos, documents and scenarios in a course follow the course's access. Their sharing dialog directs you to manage access through the course.

A draft module controls its placement in the learner path. It does not independently hide the underlying material from people who can access the course library. Use the course's access controls to decide who can open the content.

Change or remove access

In Share → People with access, change an assigned access level where offered, or choose Remove access. Cancel an unaccepted invitation separately.

Removing one share removes that route to the course. A person may still have access through another group, an organization grant, another assignment or an open link. Review those routes if they can still open the course. Removing the owning organization's general grant does not remove ownership-based management rights.

For SCIM-managed groups, change membership in your identity provider. Deactivating an organization membership removes access through that membership; it does not delete the person's account or progress.

Course access and learner data

Editor access does not expose every organization's learners. Course dashboards apply learner boundaries and the strictest linked organization privacy policy. Aggregate only hides individual behavioral analytics but can still show named final-quiz outcomes to authorized viewers.

Access to Insights can also be shared through its own invitation flow. Sharing a course link does not by itself grant that separate dashboard access. Review Data and privacy before sharing learner information.

Sharing sends the recipient's email address or selected group or organization, plus the access level, to SceneSnap. A personal invitation can send a notification email with a course link. Sharing controls access to the course; it does not configure your LMS or identity provider. SCORM and LTI have their own setup and launch restrictions.
